A glance at the spaces for events

During the course of life, people find reasons to celebrate. Some caused for moments that repeat year after year, such as birthdays and festivities, and others, occasioned by unique moments that usually occur once in a lifetime, such as baptisms, communions, weddings… But whether they occur occasionally or are celebrated once in life, they require a place, an organization (sometimes by experts), and facilities with specific attributes.

Fortunately, celebrations are always going to be present in our lives, that’s why the hotel factory has been interested in studying the operation of the spaces for events.

The objective of this study is to know the common attributes in the different types of establishments, to determine and differentiate those necessary (fundamental for the realization of events) and those recommended (dispensable attributes, but that provide an added value and that can result in a competitive advantage). To achieve this goal, it was carried out an analysis of the best practices of the venues for events, as well as online interviews to the following wedding planners and event organizers:

  • Esther Conde Catering, in Barcelona, with more than 30 years of experience in high-end catering.
  • Mille Papillons Wedding & Events, in Mallorca, with more than 5 years of experience as wedding planner both in Spain and abroad.
  • Fanny Bodas de Ensueño, in Murcia, with more than 10  years of experience in the organization of events and dedicating, nowadays, to work as a wedding planner and master of ceremonies.
  • Eventos Creativos Luz, in Eastern Andalucia and Murcia, with more than 15 years of experience in events such as weddings, communions, baptisms, congresses, fairs, concerts…

During the interviews, questions related to the following aspects were asked: number of rooms and capacities, facilities, F&B, special services, availability of rooms, spaces for children …

As a result of the analysis of the best practices, it was observed, on the one hand, that all the analyzed event spaces had a series of common elements, so it was concluded that they were necessary attributes, on the other hand, it was observed the existence of other attributes that were not present in all the spaces, so it was concluded that they were recommended attributes.

The similarity of the information obtained from the study of best practices together with the responses of the wedding planners, it has allowed us to conclude that the most outstanding aspects are the following:

  • Salons. Necessary attribute. There are two types of clients, those who seek exclusivity and those who do not mind sharing some spaces on the day of its celebration such as the garden or the hall. For this reason, the option most named by wedding planners and event organizers is to have a single panelable roomThis type of room allows you to adapt to the number of guests and even offers the possibility of holding two events simultaneously, each with its own privacy.

  • Gardens and terraces. Necessary attribute. The gardens are on the rise, most couples are looking for celebrations that have this space for the moment of the cocktail, the performance of the civil ceremony and even for the banquet.

  • Child areas. Recommended attribute. In this aspect, different alternatives were provided, from a children’s entertainment service to playgrounds or even a simple esplanade to carry out some activities. All this, always enabling the areas with security measures.

  • Pool. Recommended attribute. It can be striking when it comes to decorating with balloons, flowers, candles and garlands. Furthermore, if it is a wedding where you can spend the night it will be an added for the guests.
  • Special facilities
    • Special area for the performing of civil weddings (between trees, next to a pond, place with views to the beach or mountain…). Necessary attribute.
    • Room (bridal suite). Necessary attribute. Special room for the bride and her companions (mother, sister, friends, etc.) dress and make up. This room must be perfectly equipped since many brides want a photo there.
    • Wide toilets for disabled people and for the bride could go comfortably with the dress.
  • Services. Necessary attribute. There is a wide range of services that can be offered in the celebrations of events, including, among others: photographer, decoration, transport, animation, hairdressing, makeup … The most used option is to offer a list of collaborators, among which the clients can select the one that has the services / prices that he seeks.

In summary, after the analysis carried out to know the attributes for the constitution and operability of the spaces for events, it has been observed that, as well as in other types of services, there are a series of attributes essential for its operation, and other elements that will add value and differentiate you from the competitors.
The choice of construction and distribution of these spaces will depend on the type of client, the tastes or the purchasing power of the client you want to reach.
